Multi-Factor Authentication (MFA) changes from 2 July

As we’ve previously advised you, we’ll be introducing changes to MFA in our commitment to protecting member and employer accounts.

These changes will be implemented on Thursday 2 July and will mean:

  • All employers need to use MFA when they access the Employer Portal
  • Email is no longer a method of authentication, you’ll need to use either SMS text or an authenticator app. For the highest level of account security, we recommend using an Authenticator App wherever possible, as this provides the most secure method of MFA verification.

What happens on or after 2 July?

If you are currently using email as your MFA method, or you’re not using MFA, you’ll be asked to enter your password and PIN For those on MFA this is your pre-MFA PIN) and create your security question answer.

When you log into the Employer Portal, you’ll be asked to enter your password and pre-MFA PIN. If you’ve not got MFA set up yet, this will be your usual login PIN, as well as create your security question answer. Please follow the on-screen instructions.

You’ll then be asked to set up your MFA method using either SMS or an Authenticator App. If you choose SMS, you’ll be sent a one-time passcode via that method. If you choose the app, this will give you a six-digit code which will rotate every 30 seconds.

The next time you log in you won’t be asked for your PIN, but instead the one-time passcode or six-digit code, depending on your preferred MFA method.

If you’re wanting to use SMS, please make sure that you have a phone number saved in your contact details on the Portal. Otherwise this won’t be an option available to you.

Although we have previously advised that a landline wasn't an option, a voice call is now available, which delivers the verification code through an automated voice message. However, we can't guarantee that this service will work with all landline providers or devices. Therefore a mobile number for receiving SMS codes is still the recommended option.

If you can’t remember your previous login details and have not logged in for 90 days, please use the User reset online form. If it’s been more than 90 days, you’ll need to email us or call our Employer Support team on 0345 3003756. If your account is locked as you’ve not logged in for more than 104 days, you’ll need to reactivate your account.
