Monthly Data Collection (MDC) checklist and reminder process now live

You may have received an email from us in the last couple of days regarding the new MDC Reminder and Checklist.

As previously mentioned this new process is designed to identify non-submitted service from your previous month(s) MDC files. We’ll email you on the 14th of each month if your MDC submission is missing any service details or withdrawal indicators and let you know what you need to do to correct this. We’ll run the report again on the 21st of the month and if a checklist has not been returned, we’ll notify you directly.

Some of the main reasons for non-submitted service is:-

  • Members who move schools run by a Local Authority but we’ve not been notified that they’ve left the employment of the previous school via a withdrawal indicator (identified on your checklist file in column AB as “Potential missing withdrawal indicator (LA) at……”)
  • Members who’ve left your employment but we don’t have a withdrawal indicator to confirm this
  • Members who’ve opted out of the Scheme and the service has not been supplied.

While we’d like any non-submitted service to be corrected as soon as possible, we’re aware that it may take some time to do in some cases. The checklist is there to help highlight these issues to you, but it’s ultimately your responsibility to resolve any issue with your service records.

We’re contacting you (as opposed to your payroll provider) because you’re ultimately accountable for the provision of service and salary information. We’d recommend that you discuss any issues we raise with them.

In this first release of the checklist, we’ve identified a couple of small issues that we’re looking to correct.

  • For LAs or providers looking after individual maintained school, it was intended that any number of members output due to “Potential missing withdrawal indicator (LA) at……” would be restricted to those whose date of leaving was after the 14/09/2018. However all members have been output on the file. Future checklist files, including your reminders, will use this date to restrict the outputs. For now you can therefore ignore any members where the date is before 14/09/2018 as we’ll contact you at a later date.
  • We didn’t include the employer name or number in one of the emails issues and this will be displayed in future.
